Autofilling in Excel is a convenient feature that allows you to quickly populate a series of cells with a pattern or sequence. Whether you want to fill a column with a series of numbers, dates, or text values, autofilling can save you time and effort. Here’s a step-by-step guide on how to use the autofill feature in Excel:

  1. Enter the starting value: Begin by typing the starting value in the first cell of the series. For example, if you want to fill a column with numbers starting from 1, type “1” in the first cell (let’s say A1).
  2. Select the range: Click and drag the mouse to select the range of cells where you want to autofill the series. Make sure to include the cell containing the starting value.
  3. Activate the autofill handle: Move your cursor to the bottom-right corner of the selected cell(s) until it turns into a small black crosshair. This is known as the autofill handle.
  4. Autofill the series: Click and hold the left mouse button while dragging the autofill handle down or across the cells where you want to fill the series. As you drag, a preview of the autofill series will be displayed.
  5. Choose the autofill option: When you release the mouse button, a context menu will appear. It offers different autofill options, such as “Copy Cells,” “Fill Series,” “Fill Formatting Only,” or “Fill Without Formatting.” Select the desired option based on your needs.
  • “Copy Cells”: This option duplicates the value(s) in the first cell to the selected range. Each cell will have the exact same value(s) as the original.
  • “Fill Series”: This option is useful for creating a series of numbers, dates, or other types of data. Excel tries to detect the pattern based on the initial selection and extends it to the rest of the range. For example, if you have “1” in the first cell and “2” in the second cell, autofilling with the “Fill Series” option will generate a series of numbers (1, 2, 3, 4, etc.).
  • “Fill Formatting Only”: This option replicates the formatting (e.g., font, color, borders) of the first cell to the remaining cells in the range. The values in the cells will not change.
  • “Fill Without Formatting”: This option fills the cells with the series, but it doesn’t copy the formatting of the first cell.
  1. Release the autofill handle: After selecting the desired autofill option, release the mouse button. Excel will autofill the selected range based on your choice.

Autofilling in Excel is not limited to numbers or dates; you can also use it for text values. For instance, if you have “Monday” in the first cell, autofilling with the “Fill Series” option will generate a series of weekdays (Monday, Tuesday, Wednesday, etc.).

By using the autofill feature, you can efficiently populate cells with consistent and sequential data, saving time and minimizing errors.
